Which file format should you choose for sharing?

The best format is not always the smallest one. Start with what the recipient needs to do: read, print, edit, view or archive the file.

Documents for reading and printing

PDF is practical for a finished offer, manual, invoice or form. It normally keeps the same appearance across devices and does not require the original editing program.

If the recipient needs to make changes, also send the source file with a clear name, for example agreement-editable.docx together with agreement-preview.pdf.

Graphics and photos

PNG preserves sharp interfaces, charts, screenshots and transparent backgrounds. JPG is normally better for photographs. WebP is useful online when file size matters, but should not be the only version when a recipient needs a specific format.

Send an image as a separate file when the recipient may need to reuse it.

Archives and source files

ZIP is the most universal archive for several files. For a technical project, preserve the folder structure and include a short README describing its contents and required software.

Do not disguise a file type by changing its extension. The recipient should immediately know whether they are downloading a document, image, archive or video.
