File compression: when to use ZIP, JPG, WebP and video
Compression is useful when it makes transfer faster while leaving the recipient with a file fit for their task. Documents, image previews and video each need a different approach.

ZIP archives for several documents
ZIP works well for a group of documents, a project folder or files in different formats. It keeps the originals together and helps the recipient check that the set is complete.
Open the archive after creating it. Check the folder names, remove draft copies and confirm that no important attachment is missing.
Images: quality before the smallest size
JPG is usually right for product images and photographs. WebP can make a smaller file at similar quality, but make sure the recipient accepts it. Keep PNG for screenshots, text and transparent graphics.
Do not repeatedly resize an already compressed image. Export once from the original and inspect the result at a larger size.
Prepare video for the recipient
Decide whether the video will be watched on a phone, in a presentation or on a large screen. A 4K file is not always necessary, and a lower resolution can greatly shorten upload and download time.
Keep the original locally and label the shared version clearly, for example guide-1080p.mp4.
