How to share files safely with a link

A file link is convenient, but once it is sent you cannot fully control who forwards it. Safe sharing begins before upload: check the content, recipient and purpose of the transfer.

Check the content before upload

Open the final version and make sure it contains no draft comments, hidden sheets, test data or old correspondence. Pay particular attention to invoices, customer lists, identity scans and photographs taken on a phone.

A descriptive filename reduces mistakes. Use a name such as offer-september-2026.pdf or product-photos-01.zip instead of a random string.

Use the right channel for the link

Send the link directly to the intended person, for example by email or an approved work messenger. Do not publish it in comments, open groups or public profiles unless the file was prepared for public access.

When sending several files, say what is under the link and when it is needed. This helps the recipient identify the correct material.

If a link reaches the wrong person

The safest response is to remove the old file from your panel and send a new link to the correct recipient. Asking someone to ignore a previous message does not revoke access to the link.

For confidential material or personal data, notify the person responsible for data protection in your organisation and record what was sent, when and to whom.
